JOB DESCRIPTION

 

Position Title:            LIHEAP RECEPTIONIST

Department:             FAMILY & EMERGENCY SERVICES: CSBG and Low-Income Home Energy Assistance Program

 Supervisor:               Family Services Salmon Outreach Coordinator

Position Status:         Non-Exempt, Temporary Seasonal, Full Time (40 Hours Per Week for 15 – 26 Weeks)

Pay Rate Range:       $12.00 per hour

POSITION SUMMARY:

This temporary, seasonal position is primarily responsible for assisting the Family Services Salmon Outreach Coordinator for the Low-Income Home Energy Assistance Program (LIHEAP) and will be assigned to the Salmon Office. This position involves serving clients, processing applications, verifying information and data entry. Clerical duties may be assigned in accordance with the office needs and may include a combination of answering telephones, typing or word processing, office machine operation, and data entry. May also assist with CSBG and Food Pantry programs in the Salmon office.

ESSENTIAL DUTIES AND RESPONSIBILITIES  

  1. Greet clients, schedule appointments for clients, complete detailed applications, collect and verify back-up documentation, and assist in preparing and completing various reports for the LIHEAP program.
  2. May be requested to assist with taking and/or reviewing applications and performing data entry. ACCURACY IS ESSENTIAL.
  3. Answer client phone calls and voicemails.
  4. Assist with the food pantry programs, such as: TEFAP, CSFP, and community donations as needed.
  5. Clean and maintain the front office and client areas.
  6. Teamwork is essential to effective service provision. Conduct oneself in a professional and cooperative manner with clients, co-workers, and other agencies and organizations.
  7. Confidentiality is critical, and strict adherence to the Agency’s confidentiality policy is required. Participants and their applications may not be discussed in a disparaging or derogatory manner, under any circumstances. Situations that arise must be discussed with the immediate supervisor in private.
  8. All Agency standards of conduct will be practiced at all times.
  9. This is a 3 to 6-month position with scheduled working hours of 40 hours per week. Schedules set by the program coordinator MUST be kept unless specifically agreed to in advance by the coordinator.
  10. As an employee of EICAP you will assume the responsibility of understanding your role in accomplishing the strategic goals and performance measures of the Agency.
  11. Other related duties may be assigned from time to time as needed.

QUALIFICATION REQUIREMENTS

EDUCATION and/or EXPERIENCE:

  • High school diploma or equivalent such as a general education degree (GED).
  • Previous computer experience using Microsoft Windows applications is required.
  • Must be proficient and accurate in using an office calculator, typing and keyboarding.  
  • Previous public contact work experience is required.
  • Prior training and/or experience handling a multi-line telephone system and telephone etiquette is required.

  • Ability to read, understand and apply general business procedures.
  • Ability to communicate information verbally and in writing so others will understand.
  • Must possess the ability to read, write and communicate effectively in English.  Ability to speak Spanish is an asset.
  • Must be able to give full attention to what others are saying, take time to understand what they are communicating, ask questions as appropriate, and not interrupt others inappropriately.

MATHEMATICAL SKILLS:

  • Ability to add, subtract, multiply, or divide quickly and correctly.
  • Ability to calculate and apply figures and amounts such as fractions, percentages, and currency amounts to practical situations.

REASONING ABILITY:

  • Ability to interpret and apply commonsense understanding in order to carry out instructions furnished in written, oral, diagram, or schedule form.
  • Ability to solve practical problems and deal with a variety of work situations within the scope of the job.

OTHER SKILLS and ABILITIES:

  • Proficiency in the use of computer and all common office machines required.  Ability to work with specific computer software, including word processing and spread sheet programs.
  • Adequate typing skills are necessary for this position.
  • The employee must also possess the ability to work at a rapid pace in a hectic environment.
  • Employee must be able to work remotely, if needed.
